Google Workspace Licensing &
Plan Optimization
Stop paying for entitlements you don't use. Stop missing the ones you need. ICS audits your Google Workspace licensing estate, models Business vs Enterprise per persona, and runs ongoing quarterly governance so every seat tracks a real user and a real business outcome. Certified Google Cloud Partner. Authorized Workspace Reseller.
One-Time Audit or Ongoing Governance
Most clients start with a fixed-fee licensing audit. Organizations that want ICS to own procurement long-term graduate to reseller of record with quarterly governance.
Workspace Licensing Assessment
Fixed-scope audit of your current Google Workspace licensing estate — Business Starter / Standard / Plus, Enterprise Standard / Plus, and Frontline. Utilization analysis, edition fit by persona, renewal timing, downgrade and upgrade scenarios, and a written savings roadmap.
Reseller of Record + Ongoing License Governance
ICS becomes your Google Workspace authorized reseller and owns licensing end-to-end — procurement, true-ups, renewals, quarterly utilization reviews, and contract negotiation. Paired with managed operations so licensing decisions reflect actual tenant usage.

The Full Workspace Licensing Stack
From edition mix to reseller mechanics to quarterly audit evidence — every layer of Workspace licensing, owned and reported on.
Edition Mapping & Persona Fit
Line-item analysis of Business Starter / Standard / Plus vs Enterprise Standard / Plus for every user persona. We model what each persona actually uses against the security, storage, and compliance entitlements at each edition — so you buy what you'll use, not aspirational SKUs.
True-Ups & Renewal Management
Annual commitment, flexible plan, and Enterprise Agreement structures all have different cancellation windows and price-protection mechanics. We manage the renewal calendar, true-up cadence, and mid-term changes so you're never over-committed or caught short.
Downgrade Analysis & License Cleanup
Utilization audits across Drive storage, Meet, Vault, AppSheet, and Gemini signals — to identify users on Enterprise Plus who only use Business Standard features, suspended accounts still holding licenses, and shelfware add-ons. Savings identified in almost every first-year engagement.
Edition Migrations & Consolidation
Mid-term edition migrations — Business to Enterprise, Standard to Plus, single edition to mixed estate — handled cleanly without service disruption. Includes coordination with Google's licensing team and validation of feature-flag deltas across the tenant.
Security & Compliance Entitlement Mapping
Map your SOC 2, HIPAA, GLBA, or PCI DSS controls to Google entitlements — DLP, Context-Aware Access, S/MIME, Cloud Identity Premium, Vault, and security center — so you know exactly which edition covers each required control.
Gemini Licensing Fit
Who actually needs Gemini for Workspace? We run a data-driven persona fit against usage signals, estimate pilot size, and build a rolling license ramp — so Gemini spend matches adoption, not wishful thinking.
Frontline & Mixed-Edition Estates
Frontline Starter and Standard for deskless workers, shared-device kiosks, and shift-based teams. We model the Frontline + knowledge-worker estate as a single design — including cross-edition collaboration patterns and shared drive governance.
Contract Renegotiation & BYOL Guidance
Existing Google reseller you're not happy with? Direct relationship you'd rather consolidate? Or licenses you brought from another reseller you want us to operate on? We handle all three patterns — including the paperwork to transfer reseller of record without losing price protection.
From Estate Audit to Quarterly Governance
Predictable 4–6 week path from first conversation to executed licensing plan. Every stage has a written deliverable so you know what you're paying for.
License Estate Audit
Fixed-fee audit — current edition mix, assignment data, utilization signals, overlap with third-party tools, renewal calendar, and compliance entitlement mapping. Written audit report delivered at end of week 2.
Optimization Recommendations
Edition-level recommendations with modeled savings, Gemini pilot sizing if applicable, security entitlement rationalization, and a renewal / true-up plan. Reviewed together with your finance and IT leadership.
Execute (Transition or Cleanup)
Execute the plan — reseller transition if applicable, edition swaps, unassignment of shelfware, Gemini pilot enrollment, and cleanup of duplicated add-ons. Coordinated against renewal dates so no price protection is lost.
Quarterly License Governance
Quarterly utilization audits, renewal preparation, true-up recommendations, Gemini ramp reviews, and audit-evidence refresh. Paired with ongoing Workspace management for tenants that want operations and licensing under one roof.
Contact for pricing. Savings before fees.
License estate audits are fixed-fee with a written deliverable. Ongoing license governance runs as a small monthly retainer — typically a fraction of the annualized savings identified in the first audit. Workspace license fees themselves are billed at Google's published list price (or your negotiated Enterprise pricing). Every proposal is written, reviewed with you, and signed before work starts.

What's the difference between Business and Enterprise editions of Google Workspace?+
Business editions cap at 300 seats and are designed for SMB and growing teams. Business Starter is $6/user/month, Business Standard $12, and Business Plus $18 — these are Google's official list prices for annual commitment plans, published at workspace.google.com/pricing. Enterprise editions have no seat cap and add S/MIME, DLP, Context-Aware Access, Cloud Identity Premium, and the full security center / investigation tool. Enterprise pricing is custom and depends on volume, term, and Frontline mix — contact ICS for a quote.
Should we move everyone to Enterprise Plus, or buy add-ons on a Business edition?+
Both are defensible and we model them side-by-side. Enterprise Plus consolidation wins when you'd otherwise buy multiple add-ons (DLP, Context-Aware Access, Cloud Identity Premium, full Vault). The mixed-estate path wins when only a subset of users need advanced entitlements, or when most users are well-served by Business Plus and only specific personas need Enterprise. Most mid-market engagements land on a mixed estate — Enterprise Plus for executives and privileged roles, Business Plus for general staff, Frontline for deskless workers.
Do you help us decide whether Gemini for Workspace is worth it?+
Yes. Gemini is an add-on with a per-user cost that only pays back if adoption is real. We model Gemini fit per persona against actual usage signals (Drive activity, document volume, meeting patterns), size the right pilot cohort, and build a licensing ramp that follows demonstrated adoption — not aspiration. Gemini also requires governance work (audit logging, retention, prompt history) that has to happen before broad rollout — handled as part of our Workspace management practice.
Can ICS become our Google Workspace reseller of record?+
Yes. ICS is an authorized Google Workspace reseller. We can take reseller of record for a net-new tenant or transition an existing tenant from another reseller or direct billing — coordinated with Google's licensing team so you don't lose price protection. We often partner alongside other resellers that handle licensing only, providing the administration, security, and compliance depth they don't.
How do you handle Google Workspace annual commitment vs flexible plan?+
Annual commitment locks in price and is the default for stable headcount. Flexible plan trades a higher per-user rate for the ability to add and remove seats monthly — useful for volatile roles, contractors, or seasonal staff. We typically recommend annual commitment for the bulk of the estate plus a small flexible-plan allocation for change, and we run the term-mix calendar so mid-term adds don't accidentally extend the commitment.
How much do licensing engagements cost?+
License estate audits are fixed-fee based on tenant size and complexity. Ongoing reseller-of-record and license governance runs as a small monthly retainer — typically a fraction of the annualized savings identified in the first audit. Every proposal is written with a defined deliverable before work starts. Contact us for a written scope — we don't publish per-user rates because the right number depends on your tenant, not a price list.
What if we already have a relationship with another Google Workspace reseller?+
We work with existing resellers constantly. If your current reseller handles licensing well but can't go deep on administration, security, or compliance, we can provide the services layer alongside them — no disruption to your licensing relationship. If you decide to consolidate, reseller transition takes 1–2 billing cycles with no gap in service and no loss of price protection if timed against renewal correctly.
Do you support BYOL — bringing licenses we already own?+
Yes. If you have an existing direct contract with Google or licenses through another reseller you want to keep, we can manage and operate the tenant on your existing license entitlement (BYOL). The advisory and operations engagement scope and pricing are the same — we just skip the reseller-of-record step.
Ready to Stop Guessing on Workspace Licensing?
Start with a fixed-fee estate audit. Two to three weeks, written deliverable, edition-level recommendations with modeled savings. Then decide whether one-time optimization or ongoing reseller governance fits best.
